Booking and General Terms In the context of these booking terms and general conditions, “Stagventure,” “we,” “us,” and “our” refer to EVG Europe LTD (business address: 34 Ráday Street, 1092 Budapest, Hungary, VAT number: HU27819681, contact: info@evgdenferbudapest.com, +33 7 66 38 90 00). The words “you” and “your” refer to the person making the booking, and “group” refers to you and all persons travelling with you. It is understood that you are the main point of contact for the group, and all correspondence will take place between you and us.
Booking You must provide details about the number of people in your group, dates, activities, destination, and pay the deposit. Your contract with Stagventure does not take effect until you receive our confirmation email or invoice confirming receipt of your deposit. By making a booking with us, you agree to our general terms and conditions. The person making the booking is responsible for informing all members of their group about these terms.
Deposit For Budapest as the destination: a deposit of approximately 25% of the total cost of the booking or €200 is required, whichever is lower. For other European destinations: a deposit of 50% of the total booking cost is required. Bookings cannot be confirmed until this deposit is received. If the deposit is not paid on time, your chosen itinerary cannot proceed. The booking will be confirmed once the deposit is received. The deposit must be paid by the person making the booking, designated as the “group leader.” Individual payments are not accepted. The deposit guarantees your booking, price, and availability. Note: the deposit is non-refundable.
Final Payment You have two options to pay the remaining balance if your destination is Budapest:
- The balance can be paid in cash upon arrival, to be handed to your guide before the first activity. Payment is made in euros or local currency according to the official exchange rate of the national bank.
- Alternatively, the balance can be paid via a payment link. In this case, the total amount must arrive in our account no later than 5 working days before the start of your first activity. For other European destinations: the total amount in EUR must be paid via credit card directly on our website or by bank transfer, at least 15 working days before the date of your first activity booked with our agency.
Price We will indicate the price of your chosen itinerary at the time of booking. Once you have paid your deposit and received our confirmation, the price of your itinerary arrangements is fully guaranteed and will not be subject to any surcharge, except in the case of significant currency fluctuations. However, we reserve the right to increase or decrease our prices at any time before the booking is accepted.
Changes Made by You You can freely request multiple quotes for different numbers of participants, dates, and activities. Once you validate your quote by paying the deposit, you can still modify the number of people, dates, and program up to 7 working days before the date of your first activity. For all changes after the deposit is paid, we must base the prices on our current rates at the time of the requested change. If you change the number of participants, we will recalculate the quote according to the new information and based on current prices on our website at the time of confirmed changes. You can always add new activities to your confirmed quote at the current price at the time of addition. If you wish to change the date/time of your activities, we will do our best to find another available date or time, but this is only possible if availability allows. We guarantee the availability of the hours communicated in your confirmed schedule. All requests for changes to the planned itinerary will be subject to the availability of our providers. If people wish to join your group at the last minute, we will do our best to include them in all chosen activities, but we cannot guarantee this, especially in cases of vehicle rentals or apartments where space is limited. The number of participants and activities cannot be changed or cancelled within 5 working days before the date of your first activity organised by our agency, and the total amount of your confirmed quote will be charged.
Being Late to an Activity We will send you the itinerary before you arrive in Budapest. It is your responsibility to inform your group members of the itinerary and ensure everyone is on time. If you want to change the itinerary at the last minute, please use our hotline or discuss it with your guide at least one day before the activity. If you do not inform us in time and are more than 30 minutes late for an activity, we have the right to charge €50/group/hour after the 31st minute past the original pickup time. (Reason: our prices are calculated based on the average length of an activity and do not include the extra costs we must pay for the bus, guide, and service provider for each additional hour if you are late). Please note that if you are more than 30 minutes late, and the service provider cannot accommodate your group that day or at another time during your stay—or if you do not accept the date and time offered by the service provider—we will charge the full cost of the activity. (Reason: we still have to pay each service provider even if we do not show up and did not cancel in time).
Transfers Our airport transfers are valid for a single round trip. If you arrive on separate flights, please inform us at the time of booking. The transfer will be organised according to the latest arriving flight. If you only communicate one flight, there is no possibility for the bus and guide to wait for a second flight at the airport. If your flight is cancelled as a last-minute cancellation, we cannot refund you, but we will try to reschedule the activities according to your new flight. A maximum of 60 minutes of delay is calculated for the transfer; if your plane is delayed by more than an hour, we cannot always guarantee the strip show will take place (depending on the availability of the dancers). However, we will try to organise the show during another transfer on your weekend, but there is no refund. If you do not inform us of the flight delay before your departure, and the waiting time exceeds 60 minutes, the cost of a second transfer will be charged, and there is no guarantee that the vehicle will be able to wait.
Transfers are calculated for accommodations located in Budapest. If your accommodation is outside the city, we must add a surcharge for the extra kilometres for the buses/limousines and the taxi fees for your guide. If this applies to you, the surcharge will be calculated based on your exact address, and you will be informed as soon as possible.
Cancellation Policy You can cancel your booking at any time, but after your booking is confirmed, you will lose your deposit. Cancellations made less than 7 working days before the date of your first activity organised by our agency, or failure to show up, will result in the full cost being charged. If you inform us of a change in the number of participants at least 7 working days before the date of your first activity, we will recalculate the quote according to the new number of participants and modify the schedule for free based on the program’s capacity. If fewer participants show up than expected, and we were not informed at least 7 working days before the date of your first activity organised by our agency, we cannot refund their shares, as all activities are reserved and paid for 5 working days before your arrival. The total amount of the confirmed quote will be recalculated according to the new number of participants. However, you can share the driving minutes, shells, or drinks of those who have cancelled among yourselves.
Apartments are reserved and paid for at the time of the deposit due to very high demand and their limited availability, so they are non-refundable. In the event of partial cancellation (either reducing the group size or the number of activities) made at least 7 working days before the arrival date, Stagventure reserves the right to reduce the value of any incentives granted, as they were originally based on the group size and total cost (in volume). In this case, Stagventure reserves the right to recalculate the incentives based on current rates. If the new offer is unacceptable to the client, they can cancel the entire offer, with cancellation rules applying in this regard.
Changes Made by Us If an activity must be canceled (within 48 hours or less) due to circumstances beyond our control, we reserve the right to offer you another available activity in the same price range, which you may refuse and request a 100% refund of the total cost of the activity (excluding the deposit). We may arrange your itinerary months in advance, and while it’s very unlikely, it may sometimes be necessary for us to make changes to your booking. We reserve the right to change any provider at any time if we believe the service quality or value is not being met, or for any other reason. While we will always try to inform you of these minor changes before your departure, we are under no obligation to do so. Force Majeure: Compensation will not be due if we are forced to cancel or change your travel arrangements due to reasons such as war, threat of war, riot, civil unrest, labour conflict, terrorist activity, natural or nuclear disaster, adverse weather conditions, or other circumstances considered force majeure.
Disruptive Behaviour
Activity providers reserve the right to refuse service to anyone under the influence of drugs or alcohol, deemed incapable of participating in the activity, or acting in a disruptive manner—no refunds will be given in such cases. Stagventure guides have the right to refuse a client transportation to activities if they are too drunk and/or disruptive. No refunds will be issued in this case. Accommodation providers reserve the right to evict you from your room (pack your bags and leave the premises) for disruptive behaviour, property damage, harassment of staff or others. No refunds will be given. Additionally, accommodation providers reserve the right to involve local authorities in such cases. We are not obliged to find you new accommodation. Sexual, physical, or verbal harassment of our local representatives (guides) will not be tolerated. Stagventure guides reserve the right to leave the group at any given time if they feel threatened. No refunds will be given.
Liability
We accept responsibility for the acts and/or omissions of our employees, agents, and suppliers, except where such acts lead to death, injury, or illness. In all cases, you must first seek compensation from the main provider (hotel or activity provider). Our liability in all cases shall be limited to a maximum of the cost of your itinerary arrangements. We disclaim any liability for accidents occurring while a member of your group is under the influence of alcohol or drugs. In some cases, members of your group may be required to sign a waiver form before starting certain activities.
Injuries Not Connected with Your Booked Itinerary Arrangements
If you or a member of your group suffers death, illness, or injury arising from an activity not part of your booked itinerary or not organised by us, we will, at our discretion, offer advice, guidance, and assistance to help you resolve any claim you may have against a third party, provided that we are informed of the incident within 90 days of its occurrence.
Governing Law
This contract is governed by Hungarian law, as Budapest is the travel destination. Both parties accept the exclusive jurisdiction of the local courts in Hungary and agree to resolve any disputes under this contract in accordance with Hungarian law.
